Setting Reserve Fulfillment Parameters

The Reserves Fulfillment function lets you create a “rotating” list of lending libraries that will fulfill inter-branch reserves for your library as a borrower. Each library in the list serves a term as the “primary” library responsible for filling inter-branch reserves for a specified period. Once the specified number of days for a lender has elapsed, the next lender in the list becomes the primary “responsible” lender.

NOTE: In the event a title is not available from the “primary” lender, all other libraries in the list will be checked for a copy of the title.

To add a new reserve fulfillment:

  1. From the Circ Admin menu, select Reserves Fulfillment.
    • The Reserve Fulfillment Parameters – Select Location screen displays.

  1. From the Select Location screen, click the name of the library or branch (borrower) for which you wish to add a reserve fulfillment.
    • The Reserve Fulfillment Parameters List screen displays.

  1. Click the Add New Fulfillment button.
    • The Edit Reserve Fulfillment screen displays in an additional browser window.

  1. Select the borrowing library for which the reserve fulfillment is being added from the Borrower menu.
    • The Borrower menu lists all currently defined libraries and branches for your VERSO system.
  2. Select the lending library for which the reserve fulfillment is being added from the Lender menu.
    • The default value for the Lender menu is Not Assigned. You must select a library or branch from the Lender menu. If the default selection of Not Assigned is retained, the fulfillment parameters will not be saved when you submit the form.

    NOTE: DO NOT select the same library from both the Borrower and Lender menus.

  3. Enter the lender’s sequence in the fulfillment list in the Fulfillment Order text box.
    • The Fulfillment Order determines the order in which primary “responsibility” for fulfilling inter-branch reserves is rotated between listed libraries.
  4. Enter the number of days for which the library is primarily “responsible” for fulfilling inter-branch reserve requests in the Days to Fulfill text box.
    • The Days to Fulfill value determines the number of calendar days for which the Lender is assigned primary “responsibility” for fulfilling inter-branch reserves before the list is rotated.
  5. Enter the email address of the staff member at the Lender library responsible for managing reserves in the Notify Email Address text box.
  6. When all information has been entered as desired, click the Submit button to save the fulfillment parameters to your library’s database.
    • The Edit Reserve Fulfillment screen closes automatically, and the fulfillment is added to the Reserve Fulfillment Parameters List for the specified Borrower.

NOTE: If you omit required information or enter information incorrectly, an advisory message displays next to the associated field. Re-enter the information as necessary, then click the Submit button to save your changes.

To edit an existing reserve fulfillment:

  1. From the Circ Admin menu, select Reserves Fulfillment.
    • The Reserve Fulfillment Parameters – Select Location screen displays.
    • The Select Location screen shows an indentured listing of all currently defined libraries and branches for your VERSO system.
  2. From the Select Location screen, click the name of the library or branch (borrower) for which you wish to edit a reserve fulfillment.
    • The Reserve Fulfillment Parameters List screen displays.
    • The screen shows a listing of all currently defined reserve fulfillments. Each line in the listing shows the name of the Borrower, the name of the Lender, the Fulfillment Order for the lender, the Days to Fulfill and the email address of the staff member to notify at the lender library (Lender Notify Email).
  3. Click the Borrower link for the reserve fulfillment you wish to edit.
    • The Edit Reserve Fulfillment screen displays in an additional browser window. The screen is pre-filled with the current parameters for the fulfillment.
    • Edit the Borrower, Lender, Fulfillment Order, Days to Fulfill and Notify Email Address, as desired.
  4. Click the Submit button to save your changes.
    • The Edit Reserve Fulfillment screen closes automatically, and the Reserve Fulfillment Parameters List refreshes to display your changes.

To delete an existing reserve fulfillment:

  1. From the Circ Admin menu, select Reserves Fulfillment.
    • The Reserve Fulfillment Parameters – Select Location screen displays.
    • The Select Location screen shows an indentured listing of all currently defined libraries and branches for your VERSO system.
  2. From the Select Location screen, click the name of the library or branch (borrower) for which you wish to delete a reserve fulfillment.
    • The Reserve Fulfillment Parameters List screen displays.
    • The screen shows a listing of all currently defined reserve fulfillments. Each line in the listing shows the name of the Borrower, the name of the Lender, the Fulfillment Order for the lender, the Days to Fulfill and the email address of the staff member to notify at the lender library (Lender Notify Email).
  3. Click the Remove button for the reserve fulfillment you wish to delete.
    • A confirmation dialog displays the message “Do you want to Remove this lender association?”
  4. Click the OK button to complete the deletion. (Click the Cancel button to cancel the deletion and leave the reserve fulfillment unchanged.)
    • The Reserve Fulfillment Parameters List screen refreshes with the deleted fulfillment removed from the list.
