Chapter 3. FUND ACCOUNT MAINTENANCE

   

 


Direct Fund Transfer

The Fund Transfer function allows for direct transfer of dollar amounts from one fund to another.

To transfer an amount between funds:

  1. From the Acquisitions menu, select Financial Management - Fund Transfer.
    • The Transfer Amount Between Funds screen displays.

  1. Select the account from which you wish to transfer funds from the Source of Funds – Fiscal Year and Fund menus.
    • The Source of Funds – Unencumbered Balance field updates to show the current unencumbered balance for the source fund.
  2. Select the account to which you wish to transfer funds from the Destination of Funds – Fiscal Year and Fund menus.
    • The Destination of Funds – Unencumbered Balance field updates to show the current unencumbered balance for the destination fund.
  3. Enter the amount to be transferred from the selected Source of Funds to the selected Destination of Funds in the Amount to Transfer text box.
    • Enter the Amount to Transfer in “whole dollars” (e.g., 100) or “dollars and cents” (e.g., 99.50).
  4. Click the Submit button.
    • A Confirm Fund Transfer screen displays. The screen lists the selected FROM Fund Account and TO Fund Account, and shows the amount Allocated, amount Encumbered, amount Spent, the Unencumbered Balance and the percentage of the Allocated amount consumed during the associated fiscal year (% Enc + Spent).

  1. Click the Submit button to complete the transfer. (Click the Close button to cancel the fund transfer.)
    • A Transfer Completed screen displays. The screen shows the Amount Transferred between the FROM Fund Account and TO Fund Account, and shows the Old Balance and New Balance for each account.

  1. Click the Close button to close the Transfer Completed screen and return to the Staff Dashboard.
