Chapter 4. TRANSFERS AND EXCEPTIONS

 

 


Branch Transfer Checkin

When you receive an “inter-branch transfer” item, you must check in the item before it can be made available.

To perform a branch transfer checkin:

  1. From the Circulation menu (see The Circulation Menu for details), select Transfer – Branch Transfer Checkin.
    • The Branch Transfer Checkin screen displays.

  1. Enter the title or barcode of the item being “checked in” in the Enter Title or Barcode text box.
    • When entering a barcode, enter the complete barcode.
    • When entering a title, you may enter a complete or partial title.

      NOTE: DO NOT use the words “a”, “an” or “the” as the first word of the title. When entering a partial title, do not skip words. For example, when searching for “Gone with the Wind”, you may enter “gone with” as your search term; you may not enter “gone wind”.

  2. Choose the receiving location for the item from the Select Receiving Branch menu.

    NOTE: The Select Receiving Branch menu lists all libraries and branches that have been defined for your system. Locations are defined by your Library Administrator.

  3. Choose the appropriate material type for the item from the Select a Material Type menu.

    NOTE: The Select a Material Type menu lists all material types that have been defined for your system. Material types are defined by your Library Administrator.

  4. If you entered a title:
    • Click the Submit button.
      • A list of titles matching your search criteria displays.

  1. If you entered a barcode:
    • Click the Submit button to complete the checkin.
  2. The screen refreshes and displays the confirmation message “Item (barcode) was Checked In to: (checkin location)” at the top of the screen.
  3. The Status of the item is set to the status that was applied to the item prior to the transfer.

    NOTE: If you enter a barcode for an item that does not have a Status of “In Transit,” the message “Item (barcode) does not have the In Transit status” displays next to the Enter Title or Barcode text box, and an audible tone sounds. Re-enter the barcode, then click the Submit button to complete the checkin.

    NOTE: If the location chosen from the Select Receiving Branch menu does not match the location specified when the item was transferred (see Branch Item Transfer for details), the message “Item (barcode) does not belong to this Branch: (location selected during checkin). Item belongs to: (location)” displays next to the Enter Title or Barcode text box, an audible alarm sounds, and the item is not checked in. Choose the correct location from the Select Receiving Branch menu, then click the Submit button to complete the checkin.
