Chapter 4. TRANSFERS AND EXCEPTIONS

 

 


Inter-Library Transfer

The Branch Item Transfer and Branch Transfer Checkin functions provide “inter-library” transfer support for consortia that have “rotating collections” (collections that are periodically “rotated” between libraries).” Rotating collection” transfers are always temporary. While in transit between libraries, items are assigned an “in transit” status at the receiving library.

NOTE: You cannot transfer items with a status of Checked Out, Patron Lost, or Reserve for Checkout.

To perform an inter-library transfer:

  1. From the Circulation menu (see The Circulation Menu for details), select Transfer – Branch Item Transfer.
    • The Branch Item Transfer screen displays.

  1. Select the library to which the item is being transferred from the Select Destination Library menu.

    NOTE: The Select Destination Library menu lists all libraries that have been defined for your system. The library under which you logged in is selected by default. Locations are defined by your Library Administrator.

  2. Select the branch to which the item is being transferred from the Select Destination Branch menu.

    NOTE: The Select Destination Branch menu lists all branches that have been defined for your system. Locations are defined by your Library Administrator.

  3. Select the collection to which the item is being transferred from the Select Destination Location menu.

    NOTE: The Select Destination Location menu lists all collections that have been defined for the selected destination branch. Locations are defined by your Library Administrator.

  4. Select Temporary from the Transfer Type menu.

    NOTE: If you select Permanent from the Transfer Type menu, the message “Inter-library transfers must be temporary” displays when you submit the transfer.

  5. Enter the barcode of the item being transferred in the Enter Item Barcode text box.

    NOTE: You may not enter a title in the Enter Item Barcode text box.

  6. Click the Submit button to complete the transfer.
    • The screen refreshes and displays the confirmation message “Item (barcode) transferred to : (location)” at the top of the screen.
    • The item is no longer “searchable” at your library.
    • The Status of the item at the receiving library is set to “In Transit.”
    • The Current Location for the item is set to the location defined by the Select Destination Library, Select Destination Branch and Select Destination Location selections.
    • The location of the item at your library is retained as the Permanent Location for the item.
    • If you are the first library to perform an “inter-library” transfer of the item (the “originator”), the Owner Location field shows the permanent location of the item at your library.
    • If you are not the first library to perform an “inter-library” transfer of the item, the Owner Location field shows the permanent location of the item at the “originator’s” library.

    NOTE: If you enter an invalid barcode, the message “Invalid Item Barcode” displays next to the Enter Item Barcode text box. Re-enter the barcode, then click the Submit button to complete the transfer.

    NOTE: If you enter a barcode for an item with a status of Checked Out, Patron Lost or Reserve for Checkout, the message “This item has a Status of: (current status) by (patron name). It cannot be transferred.” displays next to the Enter Item Barcode text box. Clicking the patron name opens the Patron Checkout, Status, & Reserves screen for the patron in an additional browser window.

To check in a transferred item:

  1. From the Circulation menu (see The Circulation Menu for details), select Transfer – Branch Transfer Checkin.
    • The Branch Transfer Checkin screen displays.

  1. Enter the title or barcode of the item being “checked in” in the Enter Title or Barcode text box.
    • When entering a barcode, enter the complete barcode.
    • When entering a title, you may enter a complete or partial title.

      NOTE: When entering a partial title, do not skip words. For example, when searching for "Gone with the Wind", you may enter "gone with" as your search term; you may not enter "gone wind".

  2. Choose the receiving location for the item from the Select Receiving Branch menu.

    NOTE: The Select Receiving Branch menu lists all locations and branches that have been defined for your VERSO system. Locations are defined by your Library Administrator.

  3. Choose the appropriate material type for the item from the Select a Material Type menu.

    NOTE: The Select a Material Type menu lists all material types that have been defined for your system. Material types are defined by your Library Administrator.

  4. Click the Submit button.
    • If you entered a title, a list of titles matching your search criteria displays.

  • Click the title you wish to check in. A list of items displays.
  • Click the Select this item link for the desired item.

NOTE: Be sure the current Status for the selected item is “In Transit.”

  • The system returns to the Branch Transfer Checkin screen, with the barcode of the item entered in the Enter Title or Barcode text box.
  • Click the Submit button to complete the checkin.
  1. The screen refreshes and displays the message “Item (barcode) was Checked In to: (location)” at the top of the screen.

    NOTE: If you enter a barcode for an item that does not have a Status of “In Transit,” the message “Item (barcode) does not have the In Transit status” displays next to the Enter Title or Barcode text box. Re-enter the barcode, then click the Submit button to complete the checkin.

    NOTE: If the location chosen from the Select Receiving Branch menu does not match the location specified when the item was transferred (see Branch Item Transfer for details), the message “Item (barcode) does not belong to this Branch: (location selected during checkin). Item belongs to: (location)” displays next to the Enter Title or Barcode text box, and the item is not checked in. Choose the correct location from the Select Receiving Branch menu, then click the Submit button to complete the checkin.
