Chapter 3. MANAGING PATRONS
Deleting Patrons
You can delete authenticated users for your library only. You cannot delete the “generic patron” or “generic guest” users. Additionally, you cannot delete:
- Users with currently checked out items
- Users with items on reserve
- Users with outstanding fines/fees or with funds on deposit
- Users against whom a “lost book” is currently registered.
To delete a patron:

From
the Circulation menu (see
The Circulation Menu
for details), select Delete Patron.
- The Delete Patron Search screen displays.
- Locate the User Record you wish to delete.
- Enter the patron’s barcode or last name in the User Barcode or Last
Name text box. To view a list of all users associated with the
currently specified User’s Group, leave the User Barcode or Last Name
text box blank.
- When entering a barcode, enter the complete barcode.
NOTE: If your library has enabled searching by partial barcode (see the Circulation Administration User Guide for details), you may enter a complete or partial barcode.
- When entering a patron name, you may enter a complete or partial last name.
- If desired, enter any additional search criteria (address, phone
number, etc.) in the AND text box, and select the appropriate search
index from the IN menu.
- When Patron Expiration Date is selected from the IN menu, enter the desired date using the format “MM/DD/YYYY.”
NOTE: If you enter an improperly formatted Patron Expiration Date, an advisory dialog displays the message “Please enter patron expiration date with the format MM/DD/YYYY” when you submit your search. Click the OK button to close the dialog, and re-enter the Patron Expiration Date.
- Enter the patron’s barcode or last name in the User Barcode or Last
Name text box. To view a list of all users associated with the
currently specified User’s Group, leave the User Barcode or Last Name
text box blank.
- Click the Submit button.
- A Patron List displays, with the patron that most closely matches your search term shown as the first entry in the list. Use the Previous and Next links to scroll the list forwards and backwards from this point.
- Click the Delete link for the patron you wish to delete.
NOTE: In cases where the user selected for deletion is a library Staff member, a advisory dialog displays the message “Deletion of Staff Users must be managed in User Admin.” Click the OK button to close the dialog and return to the Patron List. The selected user cannot be deleted using the Delete Patron function.
- A confirmation dialog displays the message “Continue to Delete (patron barcode)?”
- Click the OK button on the confirmation dialog to continue with the
deletion. (Click the Cancel button to cancel the deletion and leave the User
Record intact.)
- The confirmation message “USER SUCCESSFULLY DELETED” displays in an additional browser window.

Click the Close button to close the confirmation message.
NOTE: In cases where one or more conditions exist that prevent the user record from being deleted, an advisory message displays in an additional browser window. The specified condition must be cleared before the record can be deleted.
- If the patron currently has items checked out from the library, the message “PATRONS WITH CHECKED OUT ITEMS MAY NOT BE DELETED” displays in an additional browser window.
NOTE: You cannot delete a patron with current checkouts. All checked out items must be returned to the library, or declared lost (see Managing Lost Items for details), before the patron can be deleted.
- If the patron currently owes fines or fees to the library, the message “PATRONS WITH OUTSTANDING FINES/FEES MAY NOT BE DELETED” displays in an additional browser window.
NOTE: You cannot delete a patron with outstanding fines. All fines and fees must be paid to the library, or be forgiven by the library before the patron can be deleted (see Managing Fines and Fees for details).
- If the patron currently has funds on deposit with the library, the message “PATRONS WITH FUNDS ON DEPOSIT MAY NOT BE DELETED” displays in an additional browser window.
NOTE: You cannot delete a patron with funds on deposit. All funds on deposit with the library must be refunded to the patron before the patron can be deleted (see Managing Fines and Fees for details).
- If “lost” books are registered against the patron’s account, the message “THERE WAS AN ERROR DELETING THIS PATRON. PLEASE CONTACT SYSTEM ADMINISTRATOR” displays in an additional browser window.
NOTE: You cannot delete a patron against whom “lost” books are registered. “Lost” items must be cleared from the patron’s record before the patron can be deleted (see Managing Lost Items for details).
