Chapter 4. DEFINING LOCATIONS AND COLLECTIONS
Managing Collections
To access the Locations Collections “collections” page:

From the Locations Collections - Branches screen for the desired library
(see
Managing Branches for details), click the
Edit button for the
desired branch.
- The Locations Collections - Collections screen for the selected branch displays.
- The Locations Collections - Collections screen lists the currently
established collections for the associated branch, and provides the following
information for each collection:
- Seq - the display sequence for the collection in Location menus throughout the system
- Collection - the name of the collection
- Active - indicates whether or not the associated collection is currently active (shown in Location menus throughout the system; either Yes (the associated collection is active) or No (the associated collection is not active)
- Hide - indicates whether or not the associated collection is hidden when viewing Location information in the Search module; either Yes (the collection is not shown when viewing Location information) or No (the collection is shown when viewing Location information)
- Suppress - indicates whether or not display of items associated with the collection are returned in search results lists in the Search module; either Yes (items associated with the collection are not returned in search results) or No (items associated with the collection are returned in search results)
- Disallow Reserves? - indicates whether or not reserves may be placed for items associated with the collection; either Yes (reserves may not be placed for items associated with the collection) or No (reserves may be placed for items associated with the collection)
- Reserve Location - indicates whether or not the collection is designated as
a reserve location; either Yes (the collection is designated as a reserve
location) or No (the collection is not designated as a reserve location)
NOTE: “Reserve locations” serve as temporary repositories for items for which reserves have been placed that are awaiting pickup by the requesting patron.
- Float? - indicates whether or not items of designated material types (see
Adding a Material Type for details) associated with the collection
are allowed to “float” between branches (see
About Floating Collections for more information).
NOTE: The Float? field is shown only if your library or consortium has enabled the optional floating collections functionality.
- My Patron? - indicates whether or not reserves for items associated with
the collection are limited to those "local" patrons whose Home Location (see the
User Administration User Guide for details) is the same as the library in which
the collection resides.
NOTE: The My Patron? field is shown only for systems employing a patron database that is "shared" among multiple libraries.
- From the Locations Collections - Collections screen, you may:
- Set the display sequence for collections (see Setting the Collection Display Sequence for details)
- View collection statistics (see Viewing Collection Statistics for details)
- Add a new collection to a selected branch (see Adding a Collection for details)
- Modify a collection definition (see Modifying Collections for details)
- Print a copy of the Locations Collection - Collections list (see Printing Circulation Parameters for details)
- Save a copy of the Locations Collection - Collections list to your local workstation (see Saving Circulation Parameters for details)
- Email a copy of the Locations Collection - Collections list to yourself or to another party (see Emailing Circulation Parameters for details)
NOTE: A collection should be defined for every set of items with a different call number scheme (Reference, Periodicals, Fiction, etc.).
