Deleting an Item (using Catalog Maintenance)

You can delete an existing item record for a selected bibliographic record. Item records are deleted from the Edit Item screen. You can access the Edit Item screen from a Brief Record Display or Full Record Display, or from an Item Management screen.

To delete an item:

  1. To access the Edit Item screen from a Brief Record Display or Full Record Display:
    • Perform a search for the title for which you wish to edit an item record (see the Search User Guide for details).
    • Click the Edit Item link for the desired item in the Location information section of a Brief Record Display or Full Record Display for the desired title.
      • The Edit Item screen displays. Proceed to step 3.
  2. To access the Edit Item screen from an Item Management screen:
    • Access the Item Management screen for the title containing the item record you wish to edit (see Managing Items for details).
    • Click the Edit Item icon Edit Item icon for the desired item.
      • The Edit Item screen displays. Proceed to step 3.

  1. The Edit Item screen provides the following information:
    • A “book jacket” and brief bibliographic information for the title are shown at the top of the screen. Brief bibliographic information includes the Title, Author, and Publisher. If the item record is associated with the library under which you logged in, an Owned by my Library icon Owned By My Library Icon is shown at the top of the screen.
    • The Edit Item screen is pre-filled with the current item information, and Enumeration and Chronology for the item.
  2. Click the Menu icon Menu Icon and select Delete Item to delete the item record.
    • A confirmation dialog displays the message “Are you sure you want to delete this item?”

      NOTE: If the item status is currently Checked Out, In Transit, Global Item Transfer, Reserve for Checkout, Reserve In Transit, or Cancel Reserve In Transit, an advisory dialog displays the message “The item cannot be deleted because its status is ‘(item status)’.”and the item record cannot be deleted. Click the Cancel button to close the advisory dialog and return to the Edit Item screen.

  3. Click the Delete button to proceed with the deletion. (Click the Cancel button to cancel the deletion and return to the Edit Item screen.)
    • The Edit Item screen closes, the item record is deleted, and the system returns to the Manage Items screen.
  4. When the last item record has been deleted from a bibliographic record, an advisory dialog displays the message “Bib Record has no items. Do you want to delete the Bib Record?”
    • Click the Delete button to delete the associated bibliographic record. (Click the Cancel button to cancel the deletion and return to the Manage Items screen.)
      • The Bib Record is deleted, and the system returns to the Catalog Maintenance screen.
