Editing an Item (using Edit Item)

You can edit the item record for any item in your library's catalog.

To edit an item record:

  1. From the Cat Admin menu, select Catalog - Edit Item.
    • The Edit Item Entry Form displays.

  1. Enter your search term in the Enter Title or Barcode text box to locate the item record you wish to edit. You may search for item records by Title or Barcode.
    • When entering a barcode, enter the complete barcode.

      NOTE: If your library has enabled searching by partial barcode (see the Circulation Administration User Guide for details), you may enter a complete or partial barcode.

    • When entering a title, you may enter a complete or partial title.
  2. Click the Submit button.
    • If you entered a title, a list of titles matching your search criteria displays.

  • Use the Previous and Next buttons to view other pages of the list.
  • Click the desired Title link to display a list of items for the selected title.
  • Click the Select this Item link for the desired item. The Edit Item screen for the selected item displays.
  • If you entered a barcode, the Edit Item screen for the associated title displays.

    NOTE: If the Web HLD Permissions assigned to your account through the User Administration module (see the User Administration User Guide for more information) are set to Update Only My HLD or Update List HLD and the item record retrieved is owned by a library other than one for which you are authorized to perform holdings maintenance, an advisory dialog displays the message “Cannot edit this item (item does not belong to your library).” Click the OK button to close the dialog. You cannot edit the current item record.

  1. The Edit Item screen provides the following information:

  1. Enter, edit or delete item information, Enumeration and Chronology as desired (see Adding an Item for details).

    NOTE: If active reserves exist for the title, the message “There are reserves for this title with the same enumeration and chronology specified. The fields below cannot be edited until those reserves are removed.” is shown above the Enumeration and Chronology fields. All reserves for the item must be cleared before Enumeration and Chronology values may be edited.

    NOTE: If the item is currently on Reserve for Checkout, the Current Location and Permanent Location fields are "read only" and cannot be edited.

    NOTE: If the current Status of the item is Checked Out, Cancel Reserve in Transit, Global Item Transfer, Reserve for Checkout, Reserve Expired, Patron Lost, Reserve in Transit, or In Transit, the Status field is “read only” and cannot be edited.

  2. When all desired information has been edited, click the Submit button to submit your changes to the item record.
    • The message “Item Edit Completed” displays.
