Generating an Authority Heading Report

The Authority Heading Report function lets you generate reports listing all authority headings used in one or more specified MARC tags in bibliographic records added to a Union database during a specified period.

NOTE: Authority Control is optional and may not be enabled for all systems.

To create an Authority Heading Report:

  1. From the Cat Admin menu, select Authority Heading Report.
    • The Authority Heading Usage Report setup screen displays.

  1. Use the Date(s) added options to limit report results to bibliographic records added during a specified period:
    • Select the ALL radio button to include all bibliographic records that match the specified report criteria regardless of the dates on which the records were added to the catalog.
    • Select the BETWEEN radio button to include only those records added to the catalog during a specified date range that match the specified report criteria. Enter the desired date range using the text boxes provided.
      • Enter the starting date for the report period in the first text box. Enter the ending date for the report period in the second text box.
      • Enter the starting date and ending date using the format “MM/DD/YYYY,” e.g.”12/31/2011.”

        NOTE: Be sure to include the slashes “/” when entering the starting date and ending date. Do not include alphabetic characters when entering the starting date and ending date.

      • You may also click the Date Entry Calendar icon Date Entry Calendar icon next to the starting date and ending date text boxes to select a date using the Date Entry Calendar (see the System Basics User Guide for details).
  2. Use the MARC Tags menu to limit report results to only those bibliographic records containing authority headings in one or more selected MARC tags.
    • Click ALL to include all listed MARC tags, or, click a single desired tag.
    • To select several contiguous MARC tags from the list, click and hold the left-hand mouse button on the first desired tag, then drag through the list to the last desired tag.
    • To select several non-contiguous MARC tags from the list, hold down the <Ctrl> key, then click each desired tag.
  3. Use the Source menu to limit report results to only those bibliographic records containing authority headings obtained from one or more selected sources.
    • Click ALL to include all listed sources, or, click a single desired source.
  4. Use the Include bib titles on report checkbox to specify whether or not bibliographic titles and International Standard Book Numbers (ISBNs) will be included in report results.
    • A checkmark checkmark indicates bibliographic titles will be included in report results.
    • An empty checkbox checkbox indicates bibliographic titles will not be included in report results.
    • Clicking the checkbox repeatedly will toggle it on and off.
  5. When all desired report criteria been specified, click the Submit button to run the report.
