Chapter 7. PRINTING LABELS AND BARCODES

   

 


Printing and Exporting Spine and Pocket Labels

The Print Labels function lets you print or export spine or pocket labels for items in the currently selected print set.

To print spine or pocket labels:

NOTE: Select options from the Print Labels field.

  1. From the CAT Admin menu, choose Print Labels - Print Labels.
    • The Print Labels screen displays.

  1. If you will begin printing labels with a partially used labels sheet, use the Number of Labels to Skip menu to specify the position of the first unused label on the sheet.
  2. Select the type of labels being used from the Select Label Format menu.

    NOTE: Specifications for certain available labels are shown at the bottom of the screen.

    • The following label format options are available for spine and pocket labels:
    • Avery 5160 Barcode Labels
    • Avery 22805 (1.5” X 1.5”) Spine Labels
    • Avery 22806 (2” X 2”) Spine Labels
    • Brodart 55-398-023 1 (1-1/2” X 7/8”) Spine Labels
    • Brodart 55-395-013 3 up (1 – 1-1/2” X 7/8” and 2 – 1” X 2-29/32”) Spine/Pocket Label
    • Online OL28 (1” X 0.75”) Spine Labels
    • For certain label formats, the Spine label Size menu displays, allowing you to select the desired font size for spine labels. The default font size for the current label format is selected by default.

    NOTE: Choosing a larger font size than the default size may cause some call numbers to truncate or to print beyond the boundaries of the label. If this occurs with any label, the label will be printed with a gray background. These labels will need to be checked and font sizes may need to be adjusted. Reprinting the label without adjustments will not correct the call number truncation problem.

  3. Select the user for whom you wish to print labels from the User menu.
    • The User menu shows the names of all users that have added labels to the print queue, and indicates the number of labels contained in the print queue for the user.
    • To print all labels currently in the print queue regardless of the user(s) that added the labels to the queue, select All from the User menu.
    • To print labels added to the print queue by a single user only, select the desired username from the User menu.
  4. Select the desired sort order for the labels from the Sort Option menu; Last request queue, Item creation time, Title, Author, or Call Number.
  5. When all desired selections have been made, click the Submit button.

To export spine or pocket labels:

NOTE: Select options from the Export Labels field. Labels are exported as a tab-delimited .txt file, with each row in the file containing content for one label.

  1. From the CAT Admin menu, choose Print Labels - Print Labels.
    • The Print Labels screen displays.
  2. Select the user for whom you wish to export labels from the User menu.
    • The User menu shows the names of all users that have added labels to the print queue, and indicates the number of labels contained in the print queue for the user.
    • To export all labels currently in the print queue regardless of the user(s) that added the labels to the queue, select All from the User menu.
    • To export labels added to the print queue by a single user only, select the desired username from the User menu.
  3. Select the desired sort order for the labels from the Sort Option menu: Last request queue, Item creation time, Title, Author, or Call Number.
  4. Select the type of labels to be exported from the Format menu; either Spine Labels or Pocket Labels.
  5. When all desired selections have been made, click the Export button.
    • A Save As dialog displays.
  6. Use the standard procedures for your web browser to save the file to your local workstation.
    • Be sure to retain the .txt extension.
