Chapter 2. REPORTS
Bibliographic Statistics
Purpose: Provides the total number of bibliographic records in your library’s catalog displayed by publication year and material type, along with the number of records added and updated within the selected date range.
Report Parameters:
- Date Range (text box) – determines the time period for which the report
will be generated:
- To generate the report for a predefined time period: Select Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year or Last Year. The Date Range text box refreshes to display the “starting date” and “ending date” for the selected time period.
- To generate the report for a custom time period: Enter the “starting date” and “ending date” for the desired period in the Date Range text box.
NOTE: When entering a custom time period, be sure the specified “starting date” is not more than two years prior to the specified “ending date.”
NOTE: Enter the “starting date” and “ending date” using the format “MM/DD/YYYY”, i.e., “03/10/2023.” Be sure to include the slashes “/” when entering the “starting date” and “ending date.” Do not include alphabetic characters when entering the “starting date” and “ending date.” You may also click the Date Entry Calendar icon in the Date Range text box to select a “starting date” and “ending date” using the Date Entry Calendar (see the System Basics User Guide for details).
NOTE: If a date is entered using an improper format, the message “Invalid date format. Must be MM/DD/YYYY.” displays beneath the Date Range text box. Click the X icon to clear the Date Range text box, and re-enter the date using the format “MM/DD/YYYY.”
NOTE: If the specified “starting date” is later than the specified “ending date”, the message “Start date must be before end date.” displays beneath the Date Range text box. Click the X icon to clear the Date Range text box, and enter a valid “starting date.”
NOTE: If the specified date range is greater than two years, the message “Date Range must be no more than 2 years.” displays beneath the Date Range text box. Click the X icon to clear the Date Range text box, and enter a valid date range.
To view the Collections – Bibliographic Statistics report:
Report data is displayed as a “bar” graphs, and includes textual summaries of statistics.
- The graph shows a separate “bar” for each decade during which titles in your library’s database were published, and the percentage of bibliographic records in your library’s database associated with each decade illustrated A table below the “bar” graph shows the number of bibliographic records in your library’s database associated with each decade illustrated.
The report summary is comprised of two tables.
- The Bibliographic Breakdown table contains a summary showing statistics for
all bibliographic records for titles in your library’s database. Each line in
the listing provides the following information:
- The Bibliographic Material Type for which statistics are presented
- The # of Records associated with each Bibliographic Material Type
- The % of Total Records in your library’s database for each Bibliographic Material Type
- The # of Records with Items (the number of bibliographic records with one or more item records attached) in your library’s database for each Bibliographic Material Type
- The # of Records with No Items (the number of bibliographic records with no item records attached) in your library’s database for each Bibliographic Material Type
- The Bibliographic Activity table shows the number of Added Records and Updated Records during the specified time period.
- Totals are provided at the bottom of each table.
