Managing Patron Notification/Agreement Text

The Patron Notification/Agreement Text function lets you create and manage notification and agreement text shown to patrons in the Search module under the following conditions:

To enter or edit Patron Notification/Agreement text:

  1. image of Edit Patron Notification/Agreement Text ScreenFrom the Circ Admin menu, select Patron Notification/Agreement Text.
    • The Edit Patron Notification Agreement Text screen displays.
    • The screen contains a series of text boxes into which you may enter the desired notification/agreement text.
  2. The system can be configured to prohibit reserves for items associated with one or more specified locations, branches and/or collections (see Chapter 4, DEFINING LOCATIONS AND COLLECTIONS for more information). When a patron requests a reserve for an item in a “non-reserve” location, an advisory message displays indicating the item cannot be reserved. Enter the desired text for the advisory message in the Block Reserve message for All Items are in Non-Reserve Locations text box.
  3. The system can be configured to prohibit reserves for items of a specified material type (see Chapter 2, MANAGING MATERIAL TYPES for more information). When a patron requests a reserve for an item of a “non-reserve” material type, an advisory message displays indicating the item cannot be reserved. Enter the desired text for the advisory message in the Block Reserve message for All Items have Non-Reserve Material Type text box.
  4. The system prohibits reserves for titles for which all items have been registered as “Missing” or “Lost.” When a patron requests a reserve for a title for which all items have been registered as “Missing” or “Lost,”, an advisory message displays indicating the item cannot be reserved. Enter the desired text for the advisory message in the Block Reserve message All Items are Missing or Lost text box.
  5. The system can be configured to prohibit a patron from placing a hold on an item if one or more established checkout limits of “0” would prevent the patron from checking out the item using the Prevent Holds if Checkout Limit is 0 or blank parameter under Circulation Options (see Setting Circulation Options for more information). When a patron (or a staff member on a patron’s behalf) attempts to place a hold for an item the patron would be prevented from borrowing due to one or more established checkout limits of “0,” an advisory message displays indicating the item cannot be reserved. Enter the desired text for the advisory message in the Block Reserve message for Block Reserves by Checkout Limit text box.
  6. The Show previously checked out items option available through Circulation Options (see Setting Circulation Options for details) enables/disables the storage and display of previously checked out items for library patrons. When enabled, a Show previously checked out items option is included on the patron My Preferences screen (see the Search User Guide for more information). When this option is set to yes, the patron must accept the library’s policy for storage and display of previously checked out items. Enter the desired policy text in the Patron Agreement to display Previously Checked Out Items text box.
  7. The system allows for brief bibliographic records created through the Circulation module or CAT Administration module to be flagged for "automatic deletion" upon checkin of the associated item (see the Circulation User Guide and CAT Administration User Guide for more information). The system prohibits reserves for all items for which the associated brief bibliographic record is flagged for "automatic deletion." When a patron requests a reserve for a title for which the associated brief bibliographic record has been selected for "automatic deletion," an advisory message displays indicating the item cannot be reserved. Enter the desired text for the advisory message in the Block Reserve message for item belonging to an "Auto Delete" record text box.
  8. The Allow Blocked Patrons to Login? option available through Circulation Options (see Setting Circulation Options for details) allows limited access to the system to patrons that have been "blocked," either automatically by exceeding a defined "hard block" limit or manually by library staff. When a patron logs into the system with limited access, an advisory message displays, indicating the reason(s) that certain features and functions are not available to the patron. Enter the desired text for these advisory messages in the text boxes provided:

    The following fields are shown only when the Allow Blocked Patrons to Login option available through Circulation Options is enabled.

    • Blocked Patron Login Message: Overdues – Enter the desired text for the advisory message to be displayed to a patron granted limited access due to overdue items in excess of the specified "hard block" limit.
    • Blocked Patron Login Message: Outstanding Fines – Enter the desired text for the advisory message to be displayed to a patron granted limited access due to a fines/fees balance in excess of the specified "hard block" limit.
    • Blocked Patron Login Message: Staff Block – Enter the desired text for the advisory message to be displayed to a patron granted limited access due to an account blocked manually by library staff (through the patron's User Record).
    • Blocked Patron Login Message: Household-Related Block – Enter the desired text for the advisory message to be displayed to a patron granted limited access due to a block placed against an associated household member.
    • Blocked Patron Login Message: Summary (limit 40 characters) – Enter the desired text for the "summary" advisory message to be displayed to a patron granted limited access.
  9. When all notification/agreement text has been entered or edited as desired, click the Submit button to save your changes.
