Chapter 8. CATALOGING FUNCTIONS

   

 


Adding a Brief Record

To add a brief record:

  1. 1. Select Catalog - Add Brief Record from the Cat Admin menu (see The Cat Admin Menu for details).
    • The Add Brief Record screen displays.

  1. Use the Auto Delete at Checkin checkbox to indicate whether or not the brief record should be automatically deleted by the system when the associated item is checked in through the Circulation module.
    • A checkmark checkmark indicates the brief record will be automatically deleted by the system when the associated item is checked in.
    • An empty checkbox checkbox indicates the associated record will not be automatically deleted by the system when the associated item is checked in.
    • Clicking the checkbox repeatedly will toggle it on and off.

      NOTE: The default state for the Auto Delete at Checkin checkbox (selected or de-selected) is established through the Circulation Administration module (see the Circulation Administration User Guide for details).

  2. Enter brief bibliographic data:
    • Enter the Title, Author, and ISBN in the appropriate text boxes.

      NOTE: The Title is mandatory. All other fields are optional.

  3. Enter brief item data:
    • Enter the barcode for the item in the Barcode text box.

      NOTE: If you do not enter a Barcode, the system will assign the next available barcode to the item.

    • Select the desired library location for the item from the Location drop-down menu.
      • The Location menu lists all locations/collections currently defined for your library.
    • Select the desired material type for the item from the MaterialType drop-down menu.
      • The MaterialType menu lists all material types currently defined for your library.
    • Enter the call number for the item in the Item Call # text box.

      NOTE: The Item Call # is mandatory.

    • Select the desired status for the item from the Status menu.
      • The Status menu lists all exceptions currently defined for your library. The default selection for the Status menu is Available.

      NOTE: The item Status is mandatory.

  4. When all desired information has been entered, click the Submit button to add the brief record to your library’s database.
    • A confirmation dialog displays the message “Record Submitted.”

      NOTE: If you omit a mandatory field, an advisory dialog displays the message “One or more fields are missing.” Click the OK button to close the dialog, enter any missing information, and click the Submit button.

      NOTE: If you enter a Barcode that already exists in your VERSO database, the system will ignore the entered Barcode and will save the brief record with a new unique barcode.

  5. Click the OK button on the confirmation dialog to return to the Add Brief Record screen.

NOTE: It will be necessary to edit the brief record at a future date using the AGCat Cataloging Client to enter complete bibliographic data for the item (see the AGCat Client User Guide for details).
