Declaring Found Items (Clearing Lost or Claimed Returned Items)

If an item declared “lost” or “claimed returned” (see Declaring Lost or Claimed Returned Items for details) is subsequently checked in, the Patron Found Book screen displays. You may choose to remove any "lost book" fees assessed against the responsible patron.

You can also clear a lost item from the Lost Item Return screen. The Lost Item Return screen can be accessed by selecting the Found button for the desired item from the Lost and Claims Return Items page (see Viewing Lost and Claimed Returned Items for details) of the Items Out screen for the patron against whom a lost book has been registered.

To declare a “lost” or “claimed returned” item “found” through Checkin:

  1. When an item that has been declared “Patron Lost” or “Claimed Returned” is subsequently checked in, the Patron Found Book screen displays.

  1. Use the Item Action radio buttons to select the appropriate disposition for the item.
    • Select the Found radio button if the item has been found, and will be returned to your library’s collection. A status of Available will be applied to the item.
    • Select the Delete radio button if the item will not be returned to your library’s collection. The item record for the item will be removed from your library’s database when the Patron Found Book form is submitted.

      NOTE: The Found radio button is selected by default.

  2. To apply a credit to the patron’s account for previously assessed fines, enter the appropriate credit amount in the Apply Credit text boxes for Lost Item Fines, Item Cost, and/or Overdue Fines at Time of Loss. Click the Update Total link to update the Total Charges to be credited to the patron’s account.
  3. Enter any desired comment related to the transaction in the Comment text box.
  4. Click the Submit button to complete the check in process.
    • The screen refreshes to display the Item Checkin screen.
    • The checked in item is removed from the Lost and Claims Return Items page on the Patron Checkout, Status & Reserves screen for the patron against whom the lost item was registered.
    • The patron’s record is updated, if necessary, to remove any fines assessed, or refund any payments made, for the lost item.

To declare a “lost” or “claimed returned” item “found” from the Lost and Claims Return Items page:

  1. Access the Patron Checkout, Status & Reserves screen for the desired patron.
  2. Click the Items Out tab to display the Items Out page.
  3. Click the Lost and Claims Return Items link to display the Lost and Claims Return Items page.
  4. Click the Found button for the “lost” or “claimed returned” item you wish to clear.
    • The Lost Item Return screen displays.

  1. Use the Item Action radio buttons to select the appropriate disposition for the item.
    • Select the Found radio button if the item has been found, and will be returned to your library’s collection. A status of Available will be applied to the item.
    • Select the Delete radio button if the item will not be returned to your library’s collection. The item record for the item will be removed from your library’s database when the Patron Found Book form is submitted.
    • Select the Lost & Paid radio button if the item has not been found, but all fines and fees associated with the item have been paid.

      NOTE: The Found radio button is selected by default.

  2. To apply a credit to the patron’s account for previously assessed fines, enter the appropriate credit amount in the Apply Credit text boxes for Lost Item Fines, Item Cost, and/or Overdue Fines (Time of Loss).

    NOTE: DO NOT include the dollar sign "$" when entering credit amounts. DO NOT include commas "," when entering credit amounts.

    • You may enter credit amounts in whole dollars (i.e., "1") or in dollars and cents (i.e., "1.00").
    • The Apply Credit – TOTAL CHARGES amount updates automatically to reflect your changes.
  3. Enter any desired comment related to the transaction in the Comment text box.
  4. Click the Submit button to complete the process.
    • The Lost Item Return screen closes automatically, and the Patron Checkout, Status & Reserves screen refreshes to display your changes.
    • The patron’s record is updated, if necessary, to remove any fines assessed, or refund any payments made, for the lost item.
