Chapter 6. WORKING WITH RESERVES

 

 


Placing Reserves from the Search Interface

You can place a reserve for one or more selected patrons through the VERSO Search interface. The Place Hold function can be accessed from a Brief Browse List or Full Record Display.

To place a hold using the “Place Hold” function:

  1. Locate the title for which you wish to place a hold (see the Search User Guide for details).
  2. Click the Place Hold icon Place Hold icon or the desired title from a Brief Browse List, or, click the Place Hold button from the Full Record Display for the title.

NOTE: If your library has enabled the optional Block reserves if library does not own feature and your library does not own a copy of the title, the Place Hold - Select a Patron screen shows the message “This title is not available at your library, reserve denied”. Click the Cancel button to return to the previous Brief Browse List or Full Record Display. You cannot place a reserve for the title.

NOTE: If the title you wish to borrow has been declared Lost or Missing, the Place Hold screen shows the message “Patron: Reserve Requests Are Not Allowed for Lost or Missing Items.” Click the Cancel button to return to the previous Brief Browse List or Full Record Display. You cannot place a reserve for this item.

NOTE: If a title is not available for reserve due to checkout rules (established through the Circulation Administration module), the message “Reserve Request is not allowed due to circulation rules.” displays at the top of the screen. You cannot place a reserve for the title.

  1. Locate the patron for whom you wish to place a hold.

    NOTE: To place the reserve for the currently active patron in the Circulation module, click the Current Patron button, and proceed to step 5 (the Current Patron button is available ONLY when a patron is currently active in the Circulation module).

    • If desired, limit your patron search to a specific patron group by selecting the desired group from the Choose User Group menu.
      • Select All User Groups to display users for all user groups.
      • Select the desired user group to display users for the associated group only.
    • Enter the desired search criteria in the Search Patron text box, then select the desired search index from the Select Search Index menu. To view a list of all users associated with the currently specified User’s Group, leave the Search Patron text box blank.
      • When entering a barcode, enter the complete barcode.

      NOTE: If your library has enabled searching by partial barcode (see the Circulation Administration User Guide for details), you may enter a complete or partial barcode.

      • When entering a patron name, you may enter a full name (last name, first name), or enter a complete or partial last name.
    • When entering a search term for any other selected index, you may enter a complete or partial term.
  2. Click the Submit button.
    • If you entered a full patron’s name, and an exact match to your search term is not located, the message “No patrons available” displays. Re-enter your search criteria as necessary.
    • If you entered a partial patron’s name, and an exact match to your search term is not located, a patron list displays, with the patron name that most closely matches your search term shown as the first entry in the list. If the list contains more than 16 entries, use the < Previous and Next > links to scroll the list forwards and backwards from this point. Click the desired patron to display the Reserve a Title for Patron screen.
      • The patron name shows briefly at the top of the screen.

  1. Repeat steps 3 and 4, as desired, to place holds for the title for additional patrons.
  2. The Reserve a Title for Patron screen provides the following information:
    • The title, author, publisher and publication date of the item being placed on reserve, and the date the Reserve Expires on.
    • The Name, Barcode, Email address (if available) and Phone number of the patron for whom the reserve is being placed.
    • A listing of all copies of the title owned by libraries in your VERSO system is shown at the bottom of the screen. Each line in the listing shows library Location, Call Number and Barcode of each item listed, and the current Status of the item.
  3. Select the desired pickup location for the item from the Pickup Location menu.
  4. If the reserve is not needed by the patron until after a given date, click the Date Entry Calendar icon Date Entry Calendar icon next to the Not Needed Before Date text box to enter the appropriate date (see the System Basics User Guide for details).
  5. If desired, click the Date Entry Calendar icon Date Entry Calendar icon next to the Cancel if Not Filled by text box to enter an expiration date for the reserve (see the System Basics User Guide for details).
  6. Select the Reserve Any Items checkbox to place a “Title Level” reserve to be filled by any copy of the title, or select one or more Specific Item checkboxes to place an “Item Level” reserve to be filled by the specified item(s) only.

    NOTE: “Item Level” reserve functionality is enabled through the Circulation Administration module (see the Circulation Administration User Guide for more information). If your library has not enabled “Item Level” reserve functionality, the Specific Item checkboxes are not available, and the reserve is placed at the “Title Level” by default.

  7. Click the Place Hold(s) button on the Reserve a Title for Patron screen.
    • The message “Holds placed for these patrons” displays briefly to confirm the reserve, the Reserve a Title for Patron screen closes automatically, and the system returns to the previous Brief Browse List or Full Record Display.

To place a hold using the ‘Hold(s) in Queue’ function:

  1. Access the Full Record Display for title for which you wish to place a hold (see the Search User Guide for details).
  2. Click the (#) Hold(s) in Queue link in the left pane of the Full Record Display.
    • The View Reserves screen for the title displays.
