Chapter 6. WORKING WITH RESERVES
The View Reserves Screen
The View Reserves screen shows a listing of all reserves placed against a selected title. The View Reserves screen is displayed by using the View By Title function (see View By Title for details); by clicking the View Reserves button for a selected title on the View All Reserves screen (see View All Reserves for details), on the Reserves with Available Copies screen (see Reserves with Available Copies for details) or on the Move Reserves screen (see Moving Reserves for details); or by clicking the (#) Hold(s) in Queue link on a Full Record Display (see Placing Reserves from the Search Interface for details).
The View Reserves screen provides the following information:
- Title Detail: The Title Detail field shows the Title, Author and Call Number for the title.
- Current Reserves: The Current Reserves field shows a listing
of all reserves currently placed against the title. Each line in the
listing shows the Reserve #, the Patron Name and Patron
Barcode of the patron for whom the reserve was placed, the patron’s
Phone number (if included in the patron’s record), the patron Category
to which the patron is assigned, the patron’s Home Location, the
Pickup Location for the item, the patron’s Home Location, Volume
information for the item (if applicable), and the date and time at which the
reserve was placed (Date Placed).
- Each Patron Barcode serves as a link to the Patron Status, Checkout & Reserves screen for the associated patron.
- If the View Reserves screen is accessed from the Move Reserves screen (see Moving Reserves for details), the screen includes a Select for Move button.
- Note to Library Staff: This field shows any notes entered by the patron when the reserve was placed.
- Staff Notes: This field shows any notes entered by library staff for the reserve. You can add, edit or delete Staff Notes, and select whether or not to display staff notes to the patron (see Working with Reserve Notes for details).
- Library Owns: The Library Owns field shows a listing of all copies of the title owned by your library. Each line in the listing shows the Location, Call Number, Item Barcode and Status for the associated item. If the Status of the item is Checked Out, the Patron Name field shows the name of the patron to whom the item is currently checked out. The Patron Name serves as a link to the Patron Checkout, Status & Reserves screen for the associated patron.
From the View Reserves screen, you may select to:
- Change the reserve sequence
- Add patrons to the reserve list for the title
- Add, edit or delete Staff Notes for a reserve
- Remove reserves for the title
To change the reserve sequence:
NOTE: The Reserve # sequence determines the order in which multiple reserve requests for a given title are processed. The Reserve # sequence is initially assigned based on the date and time at which each reserve was placed.
- Use the Reserve # text boxes to enter the desired sequence in which
reserve requests will be processed.
- You must enter a unique number in each Reserve # text box. DO NOT enter the same number in more than one Reserve # text box, or the desired sequence may not be obtained.
- When the desired Reserve # sequence has been entered, click the Update
Sequence button to update the sequence.
- The View Reserves screen refreshes to display the revised Reserve # sequence.
To add patrons to the reserve list:
- Click the Add Patrons link.
- The Add Patron to Reserves Search screen displays in an additional browser window.
- Locate the patron(s) you wish to add to the reserve list:
- To limit the list to only those users associated with a specific user
group, select the desired user group from the User’s Group menu, then click the
Search button.
- Select All Groups to display users for all user groups.
- Select the desired user group to display users for the associated group only.
- To locate a specific user by barcode or name, enter the user's barcode or last name in the User Barcode or Last Name text box. To view a list of all users associated with the currently specified User’s Group, leave the User Barcode or Last Name text box blank.
NOTE: When searching by a user's name, you may enter a complete or partial last name.
- To search other fields of the user records, enter the desired search term in the And text box, and select the desired search index (City, Email Address, etc.) from the in menu.
- To limit the list to only those users associated with a specific user
group, select the desired user group from the User’s Group menu, then click the
Search button.
- Click the Patron Lookup button.
- If you enter a patron’s last name, and an exact match to your search term is not located, the patron list displays, with the patron name that most closely matches your search term shown as the first entry in the list. Use the Previous and Next links to scroll the list forwards and backwards from this point.
- If you enter a patron’s last name, and an exact match to your search term is located, the patron list displays, with the first occurrence of the patron name shown as the first entry in the list. Use the Previous and Next links to scroll the list forwards and backwards from this point.
- If you enter a patron’s barcode, and an exact match to your search term is located, the patron list displays the associated patron.
- Use the Add checkboxes to select the patron(s) you wish to add to the
reserve list.
- A checkmark indicates the associated patron will be added to the reserve list.
- An empty checkbox indicates the associated patron will not be added to the reserve list.
- Clicking a checkbox repeatedly will toggle it on and off.
- Click the Add Patron button to add the selected patrons to the reserve
list.
- The Patron List closes, and the selected patrons are added at the end of the current reserves, in alphabetical order.
To remove patrons from the reserve list:
- To remove a selected patron from the list:
- Click the Remove link for the patron you wish to remove from the list.
- The screen refreshes with the selected patron removed from the reserve list.
- To remove all patrons from the list:
NOTE: Depending on the configuration of VERSO for your library, the Remove All link may not be available.
- Click the Remove All link. A confirmation dialog displays the message “Are you sure you want to remove all reserves?”
- Click the OK button to remove all reserves. The screen refreshes with all patrons removed from the reserve list. (Click the Cancel button to close the confirmation dialog and leave the reserves unchanged.)
