Chapter 4. MARC IMPORT AND EXPORT

   

 


Entering and Editing Import Item Generation Parameters

In order for the system to perform automatic item generation during a MARC file upload, you must specify the MARC tag that contains the item data, as well as the subfields for each individual data element (copy number, barcode, call number, etc.). Additionally, you can map location and material type data contained in the uploaded records to the locations and material types used by your library.

To enter item generation parameters:

  1. From the CAT Admin menu, select MARC Import - Item Generation Setup.
    • The Import Items Setup screen displays.

  1. Enter a name and description for the item generation routine in the Mapping Name and Description text boxes.
  2. Enter the MARC tag containing item data (in the records to be uploaded) in the Generate Item record for each Tag text box.
  3. Enter the MARC tag and subfields containing the individual item data elements in the Tag Containing Item Data and Subfield text boxes for Copy Number, Barcode, Call Number, Location, Sublocation, Material (Format) Type, Price, Comment, Notes, Volume, Issue, Part, Supplement, Other, Year, Month, Season, Day, Call Number Prefix, Call Number Suffix and Alternate ID fields, as appropriate.

    NOTE: Up to four subfields may be entered in the Call Number – Subfield text box.

  4. If desired, map location data from the records to be uploaded to the appropriate location/collections for your library (see Mapping Locations for details).
  5. If desired, map material types from the records to be uploaded to the appropriate material types for your library (see Mapping Material Types for details).
  6. If desired, modify the call number prefixes and/or suffixes from the records to be uploaded to the appropriate values for your library (see Modifying Call Number Prefixes and Suffixes for details).
  7. Select the desired default material type for imported records without material type information from the Default Material Type menu.
    • The Default Material Type menu lists all material types defined for your system.
  8. Select the desired default location for imported records without location information from the Default Location menu.
    • The Default Location menu lists all locations defined for your system.
  9. Enter the default call number to be applied to imported records without call number information in the Default Call Number text box.
  10. Indicate whether an item record should be created for imported records without an item creation tag by selecting Yes or No from the Create 1 item if no item creation tag exists menu.
  11. When all desired information has been entered, click the Submit button to save the item generation setup.
    • The Item Generation Setup screen refreshes to display your changes.
  12. If you wish to create additional item generation setups, click the New button to clear the current contents of the Import Items Setup screen, then repeat steps 2 through 12.

To edit item generation parameters:

  1. From the CAT Admin menu, select MARC Import - Item Generation Setup.
    • The Import Items Setup screen displays.
  2. Click the Lookup link.
    • The Select a Holds Mapping Setup screen displays in an additional browser window.

  1. Click the link for the Item Generation Setup for which you wish to edit parameters.
    • The Select a Holds Mapping Setup screen closes automatically, and the Import Items Setup screen refreshes to display the current parameters for the selected Item Generation Setup.
  2. Edit the item generation parameters as desired.
  3. When all desired changes to item generation parameters have been made, click the Submit button to save your changes.

To delete item generation parameters:

  1. From the CAT Admin menu, select MARC Import - Item Generation Setup.
    • The Import Items Setup screen displays.
  2. Click the Lookup link.
    • The Select a Holds Mapping Setup screen displays in an additional browser window.
  3. Click the Delete button for the Item Generation Setup you wish to delete.
    • A confirmation dialog displays the message “Continue to delete this Mapping?”
  4. Click the OK button on the confirmation dialog to complete the deletion. (Click the Cancel button to cancel the deletion.)
    • The Select a Holds Mapping Setup screen refreshes with the selected Item Generation Setup removed from the list.
