Requesting Statistics Reports

NOTE: The procedures for requesting Circulation Statistics report are identical (except for the Item Exceptions, Library Defined Patron Stats and Item Location Detail reports), regardless of the type of report requested.

NOTE: Statistics staff can generate statistics reports only for the library under which they logged in. Customer SuperUsers can generate statistics reports for a single, selected library or for ALL libraries.

To request a statistics report:

  1. From the Statistics menu (see The Statistics Menu for details), select the desired report from the Circulation Statistics submenu; Patron Category, Patron Group, Item Material Type, Item Location Detail, Item Category, Patron Activity, Fine Activity, Library Defined Patron Stats, Item Activity, Bib Activity, In Transit Items, Floating items Add, Floating Items Remove, or Floating items Material Types.
    • The Select Report screen displays.

  1. For Library Defined Patron Stats only: Select the library defined field for which you wish to view statistics from the Select a Library Defined Statistics menu.
  2. For Customer SuperUsers only: Select the library for which you wish to view statistics from the Select a Library menu.
    • Select the desired library, or select [All] to view statistics for all libraries.
  3. Select the Run Statistics radio button for the type of report you wish to request:
    • To view statistics for a single year, month or day, select the By Year, By Month or By Day radio button, as appropriate.
      • The screen refreshes to display the Select a Date field. The Select a Date field lists all dates for which you may view statistics, based on the currently selected report type.

  1. For Item Location Detail reports only: Select the Report Arrangement radio button to select the desired sort arrangement for report results; Location Detail (report results sorted by library location) or Location Group (report results sorted by location group).
  2. Select the desired output format for the report using the Report Format radio buttons.
    • To view the report:
      • To view the report on-screen in HTML format, select the View Report - HTML radio button.
      • To download the report for viewing in Adobe Acrobat, select the View Report - PDF radio button.
      • To download the report for viewing in Microsoft Excel, select the View Report - Excel radio button.
    • To email the report:

    NOTE: When an Email Report option is selected, the report entry screen refreshes to display the To and Subject text boxes.

    • To email the report in Adobe Acrobat format, select the Email Report - PDF radio button.
    • To email the report in Microsoft Excel format, select the Email Report - Excel radio button.
    • Enter the recipient’s email address in the To text box. If you wish to send the records to more than one person, separate multiple email addresses with semicolons. Do not include spaces between email addresses.
    • Enter the desired subject line for the email in the Subject text box.
  3. Submit the report request:
    • When By Year, By Month or By Day is selected, click the link for the desired year, month and year, or day, as appropriate, for which you wish to request the report. If the date list is more than one page, use the prev and next links to view other pages of the list.
    • When By Month Span is selected, click the Run Report button to submit the report request.
  4. Download and/or view the report as appropriate:
    • If you selected the View Report - PDF or View Report - Excel radio button, a File Download dialog displays (see Saving Circulation Statistics Reports for details).
    • If you selected the Email Report - PDF or Email Report - Excel radio button, the message “The report result has been emailed to the following recipient(s): (email address)” displays at the top of the report entry screen.
    • If you selected the View Report - HTML radio button, the report displays in an additional browser window.
