Chapter 5. VIEWING DATABASE STATISTICS
Viewing Collection Statistics
You can view statistics related to the number of items associated with all collections for a selected branch.
To view Collection Statistics:

From
the Locations Collections - Branches screen for the desired library (see
Viewing Branch Statistics for details),
click the Expand link for the branch for which you wish to view
Collection Statistics.
- The Locations Collections - Collections screen for the selected branch displays.
- The Locations Collections - Collections screen lists the currently established collections for the associated branch, and provides the following information for each collection:
Seq - the display sequence for the collection in Location menus throughout VERSO
Collection - the name of the collection
Active - indicates whether or not the associated collection is currently active (shown in Location menus throughout the system; either Yes (the associated branch is active) or No (the associated branch is not active)
Hide - indicates whether or not the associated collection is hidden when viewing Location information in the Search module; either Yes (the branch is not shown when viewing Location information) or No (the branch is shown when viewing Location information)
Suppress - indicates whether or not display of items associated with the collection are returned in search results lists in the Search module; either Yes (items associated with the branch are not returned in search results) or No (items associated with the branch are returned in search results)
Disallow Reserves? - indicates whether or not reserves may be placed against items in the associated collection; either Yes (reserves may not be placed for items in the collection) or No (reserves may be placed for items in the collection)
Reserve Location - indicates whether or not the collection is designated as a reserve location; either Yes (the collection is designated as a reserve location) or No (the collection is not designated as a reserve location)
NOTE: “Reserve locations” serve as temporary repositories for items for which reserves have been placed that are awaiting pickup by the requesting patron.
Float? - indicates whether or not items of designated material types associated with the collection are allowed to “float” between branches; either Yes (items of designated material types associated with the collection are allowed to “float” between branches) or No (items of designated material types associated with the collection are not allowed to “float” between branches)
NOTE: In multi-branch library settings, if a borrowed item is returned to a location other than the “owning branch” (the permanent location for the item), the standard practice is for the branch that checked in the item to return it to the owning branch. Items in “floating” collections are allowed to move freely between branches. When an item from a “floating collection” is checked in at a branch other than the branch from which it was checked out, the branch checking in the item becomes the “owing branch.” See the Circulation Administration User Guide for more information.
- My Patron? - indicates whether or not reserves for items associated with the collection are limited to those "local" patrons whose Home Location is the same as the library in which the collection resides; either Yes (reserves for items associated with the collection are limited to "local" patrons) or No (reserves for items associated with the collection are not limited to those "local" patrons)
- On the Locations Collections - Collections screen, click the Stats
button.
- The Collection Stats screen for the currently selected branch displays. The date on which the statistics report was requested is shown at the top of the screen.

The
Collection Stats screen provides the following information for each
collection:
- Seq - the display sequence for the collection
- Label - the name of the collection
- Status - indicates whether or not the associated collection is currently Active or Inactive
- Stats - the total number of items in your VERSO database associated with the collection
- Locs/Coll. with Cost - shows the total number of items in the associated collection for which a Cost is specified in the item record.
- Value - shows the total dollar value of all items held by the associated branch for which a value is specified in the Cost field of the item record.
- Items with Default Cost - shows the total number of items in the associated collection for which no Cost is specified in the item record.
- Value of Items with Default Cost – shows the total dollar value of all Items with Default Cost based on the default cost specified for the material type of the item (see the Circulation Administration User Guide for details).
- Total Value of Items by Locs/Coll.- the sum of the total dollar value of all Locs/Coll. with Cost and the total dollar value of all Items with Default Cost for the associated collection.
- A grand Total for all collections associated with the currently selected branch is shown at the bottom of the list.
- To view statistics for items added to all collections for the
currently selected branch during a specified period:
- Enter the desired starting and ending dates for the period in the Start Date and End Date text boxes using the format "mm/dd/yyyy", including slashes.
- Click the Submit button. The screen refreshes to display statistics for the specified period.
- If desired, you may:
- Print a copy of the Collection statistics report (see Printing Statistics for details)
- Save a copy of the Collection statistics report to your local workstation (see Saving Statistics for details)
- Email a copy of the Collection statistics report to yourself or to another party (see Emailing Statistics for details)
- Click the Close button on the Locations Collections - Collections screen to return to the Location Collections - Branches screen. Click the Close button on the Locations Collections - Branches screen to return to the Location Collections - Libraries screen.
