Chapter 2. CHECK OUT AND CHECK IN
Item Check-In
The Checkin and Express Checkin (see Using Express Checkin for details) functions let you record when an item previously checked out through the system has been returned to the library. When an item is checked in, its status is automatically set to "Available" (except as noted in the following).
To check in an item:

From the Circulation menu (see
The Circulation Menu for
details), select Checkin.
- The Item Checkin screen displays.
- The Effective Checkin Date field shows the date on which items will be logged as being checked in.
- The All Items Checked In Today field shows the total number of items checked in on the current calendar date.
- The Items Checked In Now field shows the total number of items checked in during your current session. This value resets to “0” each time you exit the Item Checkin screen.
- If desired, use the Change Checkin Date text box to change the checkin
date.
NOTE: By default, the checkin date is set to the current calendar date.
- Enter the desired checkin date in the Change Checkin Date text box.
- Enter the desired date using the format MM/DD/YYYY, i.e., “12/31/2018.”
Be sure to include the slashes “/” when entering the checkin date. Do not include alphabetic characters when entering the checkin date.
- You may also click the Date Entry Calendar icon next to the date entry text box to select a checkin date using the Date Entry Calendar (see the System Basics User Guide for details).
NOTE: When changing the checkin data, you must select a date prior to the current calendar date. If you select a date subsequent to the current calendar date, an advisory dialog displays the message “Selecting a date in the future is not allowed please select a date prior to today.” Click the OK button to close the dialog and enter a valid date in the Change Checkin Date text box.
- If you wish to use the new checkin date for subsequent check ins, select
the Remember Checkin Date checkbox.
- A checkmark indicates the new checkin date will be used for subsequent check ins.
- An empty checkbox indicates the new checkin date will not be used for subsequent check ins.
- Clicking the checkbox repeatedly will toggle it on and off.
- Enter the title or barcode of the item you wish to check in the Enter
Title or Barcode text box.
- When entering a barcode, enter the complete barcode. You may use
a barcode scanner to enter the barcode, if available.
NOTE: If your library has enabled searching by partial barcode (see the Circulation Administration User Guide for details), you may enter a complete or partial barcode.
- When entering a title, you may enter a complete or partial title.
NOTE: When entering a partial title, do not skip words. For example, when searching for "Gone with the Wind", you may enter "gone with" as your search term; you may not enter "gone wind".
- When entering a barcode, enter the complete barcode. You may use
a barcode scanner to enter the barcode, if available.
- Click the Submit button.
- If you entered a title, a list of titles matching your search criteria displays.
- Click the desired Title link to display a list of items for the selected title.
- Click the Check it in link for the desired item to display the Item Checkin screen for the selected item.
- If you entered a barcode, the Item Check In screen for the associated item displays.
- If the item being checked in is currently on “Checkout Reserve” for another patron, the Reserve Warning screen displays in an additional browser window. Click the Yes button to check in the item and remove the “Checkout Reserve.” Click the No button to check in the item and retain the “Checkout Reserve.”
NOTE: If your library has enabled Expired Reserve status (through the Circulation Administration module) and expired reserves exist for the title, the system deletes the expired reserve(s) automatically, and the Reserve Warning screen is not displayed.
NOTE: If your library has enabled the Sound Alert when Brief record is returned option (through the Circulation Administration module), and the item being checked in is associated with a brief bibliographic record, an “Item Warning” alert sounds when the item is checked in.
- If “soft” reserve requests exist for the title, the message “THIS TITLE HAS OUTSTANDING RESERVE REQUESTS” displays above the Last Check In field, the Item Check In screen shows the Outstanding Reserve Requests for this Title field. You can convert any current “soft” reserve for the item to a "hard" reserve, and transfer the item to a Reserve Location (see Converting a “Soft” Reserve to a “Hard” Reserve for details).
NOTE: If ALL “soft” reserve requests for the title being checked in are currently suspended (see Suspending Reserves for more information), the “THIS TITLE HAS OUTSTANDING RESERVE REQUESTS” message is not shown, and the Outstanding Reserve Requests for this Title field does not display.
- The Last Check In field shows the Effective Date for the checkin, name of the Patron for whom the item was checked in, the patron's outstanding Fine Balance (if any), the patron’s Phone number and Email address, and includes the Title, Author, Barcode, Call Number and Item Location for the item checked in. The Patron name also serves as a link to the Patron Checkout, Status & Reserves screen for the associated patron.
- If the item being checked in is associated with a brief bibliographic record, the message “Brief Cataloged Item” displays at the top of the Last Check In field, along with the appropriate disposition for the checked in item (such as “Send to Cataloging”).
- If “Notes” are associated with the item, the Item has Notes field displays the note text.
- The Fines Assessed on this Check in field shows the total Fine assessed, the number of Days Overdue, and the amount of the Fine per day. If desired, click the Pay Fines button in the Fine Assessed on this Check in field to process patron payments for outstanding fines and fees (see Processing Payments for details).
- The Patron Fines/Fees screen displays in an additional browser window.
- Outstanding reserves for the title, if any, are listed in the Outstanding Reserve Requests at other locations for this Title field. Each line in the list shows the Reserve # (the patron’s “place in line” if multiple reserves exist), the Patron Name and Patron Barcode for whom the reserve was placed, the patron’s Phone number, the patron Category to which the patron is assigned, the Pickup Location for the item, the Volume number for the item (if appropriate), and the date and time at which the reserve was placed (Date Placed).
NOTE: If the item being checked in was previously declared as lost, the Patron Found Book screen displays allowing the “lost” declaration to be cleared (see Declaring Found Items (Clearing Lost or Claimed Returned Items) for details).
- To check in another item:
- If desired, use the Change Checkin Date text box to change the checkin date.
- • Enter the title or barcode of the item for which you wish to view the status in the Enter Title or Barcode text box, then click the Submit button.
