Chapter 6. WORKING WITH RESERVES

 

 


Adding a "Hard" Reserve

You may place a "hard" reserve against any available item in your library's catalog.

To add a "hard" reserve to an item:

  1. Access the Patron Checkout, Status & Reserves screen for the desired patron (see Viewing Patron Status for details).

    NOTE: If warnings are currently placed against the patron (patron is nearing expiration date, patron has overdue items, etc.), the Patron Warning Screen displays (see Viewing the Patron Warning Screen for details).

    NOTE: If the patrons borrowing privileges are currently blocked (either manually or by system-imposed “hard” blocks), the message “You cannot continue with this patron” displays. The condition causing the “block” must be rectified before checkout can continue. Depending on the specific reason that the patron is blocked, you can optionally override the block to continue with the checkout (see Viewing the Patron Warning Screen for details).

  2. Click the Checkout tab to view the Checkout page of the Patron Status, Checkout & Reserves screen. The Items Checked Out On field on the Patron Status, Checkout & Reserves screen shows the items currently checked out to the patron on the current calendar date, along with all items for which a “hard” reserve has been placed for the patron. Each line in the listing provides the following information:

  1. To locate an item for “hard” reserve by barcode:
    • Enter the barcode of the item for which you wish to place the “hard” reserve in the Enter Item Barcode text box.
      • When entering a barcode, enter the complete barcode.
    • Select Checkout Reserve from the drop-down menu.
    • Click the Submit button.
      • The Reserve Title for Checkout screen for the associated title displays.
  2. To locate an item for “hard” reserve by keyword:
    • Enter the term for which you wish to search in the Enter Title or Barcode text box, then select the desired search index (Title, Author, Call Number or ISBN) from the If not found, Search by menu.
      • When entering a keyword, you may enter a complete or partial term.

      NOTE: When entering a partial title, do not skip words. For example, when searching for "Gone with the Wind", you may enter "gone with" as your search term; you may not enter "gone wind".

    • Select Checkout Reserve from the drop-down menu.
    • Click the Submit button.
      • The “Item Not Found” screen displays. The Enter Barcode or Search a Different Field text box is pre-filled with the entered keyword, and the screen displays a list of titles, beginning with the title that most closely matched your search criteria.

  • Click the desired term link to display a list of items for the selected term.
  • Use the scrollbar to view the current page of the list. Use the Previous and Next buttons to view other pages of the list.
  • Click a title in the list to view holdings information for the title. The Viewing Holdings Info For section of the screen refreshes to all items for the associated title. Each line in the list shows the Library holding the item, the item Location, the Title and current Status of the item, the item Call Number, the item Material Type and the item Barcode. Click a Barcode to view Item Status for the associated item (see Viewing Item Status for details). Use the scrollbar to view the entire list.
  • Click the Checkout Reserve button for the desired item to display the Reserve a Title screen for the selected item.

NOTE: If the desired title cannot be located, click the Add Brief Record button to add a “brief” record for the desired title to the database (see Adding a Brief Record for details).

  1. The Reserve Title for Checkout screen shows the name of the Patron for whom the item is being reserved, the Title and Author for the item, and the Current Location of the item.

    NOTE: If a "soft" reserve has been placed on the selected item by a different library patron, the Reserve Title for Checkout screen displays a list of all current reserves placed on the item.

    • To temporarily transfer the item to a “reserve” location, select the desired location from the Transfer To drop-down menu.
    • Click the Submit button to place a “hard” reserve for the item.
      • The Reserve Title for Checkout screen closes, and the item is added to the Checkout page of the Patron Status, Checkout & Reserves screen. The title of the item is prefixed with the notation “[Reserved].”
    • If desired, click the Receipt button to print a “reserve” receipt to accompany the item when it is moved to the temporary reserve location.
      • A formatted Reserve for Checkout receipt displays in an additional browser window.
      • Click the Print button on the receipt; a standard Windows Print dialog displays.
      • Make the appropriate selection on the Print dialog, then click the OK or Print button, as applicable. (Click the Cancel button to cancel the print request.)
      • Close the Reserve for Checkout receipt window.
    • If desired, click the Email Receipts button to send an email notification to the patron for whom the reserve is being placed that the item is now available for pickup/checkout.
      • An email confirmation message displays next to the Email Receipts button.
    • If it is necessary to reprint the reserve receipt or resend notification to the patron, click the Hold Notify link in the Due Date column for the desired reserve, then select the Send Notification or Reprint reserve for checkout Receipt as appropriate.
      • If the Send Notification option is selected, notification is sent using the patron’s preferred Reserve Notification Preferences as defined in the patron’s User Record (see Chapter 3. MANAGING PATRONS for more information).

        NOTE: If the patron’s Reserve Notification Preferences is set to None, an advisory message displays. Click the Patron Edit button to edit the patron’s User Record and set the appropriate preference (see Chapter 3. MANAGING PATRONS more information).

  2. Repeat steps 3 through 5, as appropriate, to place additional “hard” reserves for the current patron.

NOTE: “Hard” reserves are subject to the same checkout limits as regular checkouts. If the checkout limits parameter (set by your Library Administrator) is exceeded during the checkout session, the Checkout Warning screen displays. Click the Continue button to continue with the reserve transaction for the current item.
