Chapter 2. CHECK OUT AND CHECK IN
Viewing Patron Status
The Patron Checkout, Status & Reserves screen lets you view the current status of a selected patron's activities with your library. Information displayed includes a brief patron record, warnings against the patron’s account, a listing of current checkout transactions (checkouts that occurred during the current session and items for which a “hard” reserve has been placed for the patron), a listing of items currently checked out to the patron (excluding current checkout transactions), a listing of items for which a “soft” reserve has been placed for the patron, a listing of “lost” and “claimed returned” items associated with the patron, a record of the patron’s circulation history, and a listing of previously checked out items. You may also select to view fines history, manage fines and fees for the patron, manage Household members, access the Patron Edit function to edit the patron’s User Record or view ILL Items checked out to the patron.
NOTE: ILL Items are shown only for systems utilizing the optional Circ-ILL functionality (see the Circ-ILL User Guide for details).
To access the Patron Checkout, Status & Reserve screen:

From the Circulation menu (see
The Circulation Menu
for details), select Patron Status & Checkout.
- The Patron Search screen displays.
- Locate the patron for whom you wish to view status.
NOTE: To return to the most recently accessed patron account, click the Previous Patron button.
- If desired, limit your patron search to a specific patron group
by selecting the desired group from the User’s Group menu.
- Select All User Groups to display users for all user groups.
- Select the desired user group to display users for the associated group only.
- Enter the patron’s barcode or last name in the User Barcode or Last
Name text box. To view a list of all users associated with the
currently specified User’s Group, leave the User Barcode or Last Name
text box blank.
- When entering a barcode, enter the complete barcode.
NOTE: If your library has enabled searching by partial barcode (see the Circulation Administration User Guide for details), you may enter a complete or partial barcode.
- When entering a patron name, you may enter a complete or partial last name.
- If desired, enter any additional search criteria (address, phone
number, etc.) in the AND text box, and select the appropriate search
index from the IN menu.
- When Patron Expiration Date is selected from the IN menu, enter the desired date using the format “MM/DD/YYYY.”
NOTE: If you enter an improperly formatted Patron Expiration Date, an advisory dialog displays the message “Please enter patron expiration date with the format MM/DD/YYYY” when you submit your search. Click the OK button to close the dialog, and re-enter the Patron Expiration Date.
- If desired, limit your patron search to a specific patron group
by selecting the desired group from the User’s Group menu.

Click the Submit button.
- If you entered a patron’s last name, and an exact match to your search term is not located, the patron list displays, with the patron name that most closely matches your search term shown as the first entry in the list. If you enter a patron’s last name, and an exact match to your search term is located, the patron list displays, with the first occurrence of the patron name shown as the first entry in the list.
- If desired, you can reconfigure, sort and filter list content (see the System Basics User Guide for details).
- The patron list shows the Patron Barcode, Name, Patron Category, Address, City, Phone number and Birth Date for each patron. If a photo is included in a patron’s User Record, you can click the associated View Photo link to view the patron’s photo.
- Use the Previous and Next buttons to scroll the list forwards and backwards from this point. Click the desired Patron Barcode to display the Patron Status, Checkout & Reserves screen for the associated patron.
NOTE: If you select the wrong patron, click the Not (patron name) ? link to return to the Patron List.
- If you enter a patron’s barcode, and an exact match to your search term is located, the Patron Status, Checkout & Reserves screen for the associated patron displays.
NOTE: If there are active warnings for the patron, the Patron Warning screen displays (see Viewing the Patron Warning Screen for details).

From the Patron Checkout, Status & Reserves screen, you may choose to:
- View warnings placed against the patron (see Viewing the Patron Warning Screen for details)
- View patron information (see Viewing the Patron Summary for details)
- View current checkout transactions and items placed on “hard” reserve for the patron (see Viewing Current Checkout Transactions for details)
- View a list of items currently checked out to the patron (see Viewing Items Out for details)
- View a listing of items placed on “soft” reserve for the patron (see Viewing Reserved Items for details)
- View a listing of items declared as “lost” for the patron (see Viewing Lost and Claimed Returned Items for details)
- View patron circulation history (see Viewing Patron History for details)
- View items previously checked out by the patron for a specified date range (see Viewing Previously Checked Out Items for details)
- View a list of ILL items currently checked out to the patron.
NOTE: ILL Items are shown only for systems utilizing the optional Circ-ILL functionality (see the Circ-ILL User Guide for details).
- View and maintain a list of family members for the patron (see Viewing and Managing Household Members for details)
- Print or email overdue notices for the patron (see Printing and Emailing Overdue Notices for details)
- Declare a currently checked out item as “lost” (see Declaring Lost or Claimed Returned Items for details)
- Edit the patron’s User Record (see Editing Patrons for details)
- Manage fines and fees for the patron (see Managing Fines and Fees for details) and view fines history (see Viewing Fines History for details)
- Suspend reserves for the patron (see Suspending Reserves for details)
